Live for everyone

When a teammate changes a project you have open, you see it within a few seconds without reloading: cards moving, tasks added, renamed, completed or rescheduled, labels, dependencies and comments, in every view and in an open task window. Tasks they just changed glow briefly. Faces beside Share show who has the project open; point at one to see who it is and which view they are in.

  • Updates wait while you are dragging, typing or using a menu, so nothing moves under your hands.
  • If the connection drops, Reconnecting shows beside Share, and what you missed comes in when it is back.

Inviting people

Click Share at the top right, enter an email address, choose Can edit or Can view, and click Invite. They get an email with a link, and the link is copied for you in case you would rather send it yourself. Until they accept, they show under People with access as Invite sent, where you can copy the link again or cancel. Links are valid for seven days.

Roles

Owner — the person who made the project. Everything, including settings, Slack, webhooks, restoring from Trash and deleting the project.

Editor — creates, edits, moves and deletes tasks and lanes in every view, comments, logs time, saves templates, runs imports, edits canvases and timelines. Cannot change project settings.

Viewer — sees everything and changes nothing, including on canvases and timelines, where they can still comment.

Comments and mentions

Every task has threaded comments under its sub-tasks: write, post, reply, edit or delete your own. Type @ and a name to mention someone on the project; they get a notification, and an email when email is configured. Comments also appear in the project's Activity feed and can post to Slack. Studio timelines and canvases have their own pinned comments.

Co-assignees and followers

A task has one assignee and any number of co-assignees (people also doing the work; they count in Workload and get the same notifications) and followers (people who want to hear about comments and status changes without owning the task). Both are under More details in the task window, and both can be a person or a team from your organization.

Who sees what

Only the owner and the people invited can open a project. Row-level security in the database enforces that on every read and write, in addition to the checks in the app. Files are private and open through short-lived links. Public links are a separate, view-only door; see Public links.
